Production

Once the plans are in place materials have to be ordered and deliverables prepared.

We reduce costs during the production phase while ensuring speed and quality by using our factories in Saitama (near Tokyo) and Nara (near Osaka & Nagoya) with connections to major venues nationwide.
These inhouse facilities allow us to provide better service to our clients while using reusable materials to minimize environmental impact.

PHASE

Onsite Setup

The onsite setup is where all the plans come together.
Our job here is to take the empty "box" that is your venue and create the platform for your event to happen.

While setup time is short in Japan due to high venue rental costs, Sakura International has the expertise to manage builds fast and reliably.
We work from on-site offices and workshops in large exhibition halls and benefit from long-term relationships with venue personnel and industry vendors.

PHASE

Onsite Operations

The final phase of event planning is running the whole thing onsite.
Sakura International not only helps you to prepare, but can also assist in managing your event.
This includes everything from stage management to registration and security arrangements.
Unfamiliar regulations and procedures can complicate events in Japan, so let the experts handle compliance, including notification of local police, fire and health departments.
We can also arrange temp staff, offsite events and secretariat operations.

Devcon V
Conference
  • ■ It started with a single e-mail

This event organizer contacted us because it had no branch office or production partner in Japan.
With less than 3 months till open day and only the venue decided there was no time to waste!
  • ■ Event planning consultation

The first step was to put together a roadmap on how to proceed and set deadlines.
We also needed to liaise quickly with stakeholders to pull together a local team.
Luckily we are located right next to the venue and already had connections there.

Our experience and strong network ensured even on this very tight schedule the clients
got the necessary materials and manpower to succeed.

  • ■ Project Management

The organisers for this event were based in the USA, but we are used to dealing with time differences and through appropriate scheduling of online meetings we were able to work closely with our counterparts to make sure the pre-show planning flowed smoothly.
Having a branch office in Las Vegas office also helped!
  • ■ Speed and quality

Even if you're on a tight schedule we can make your event happen on time.
With our wide experience and resources, we squeezed six months of work into two – all while maintaining quality and staying on budget.

  • ■ Production management

This event included conference rooms, a live stage, exhibition and break space.
This required a wide range of materials, some modular and others specially created, to be brought together and made ready for the onsite setup.
Our production management team handled all the logistics for this to ensure what was on the plans could be delivered onsite.
  • ■ Outsourcing

The unique design specs for this event meant we were not able to handle everything inhouse.
Notably some of the custom stage build required assistance from subcontractors.
Sakura International has a wide network of vendors we can call on for such purposes, with the production management team overseeing this process to guarantee quality.

  • ■ Safe, accurate setup & teardown

With only one day to setup everything the logistics for this were challenging to say the least. However our Production Management Department prepared meticulous plans to ensure a speedy completion while maintaining onsite safety.
This not only included the actual construction, but also managing the freight entrance due to limited vehicle space.
We have all the necessary pernits and qualifications from security to construction to exterior advertising to make sure compliance is covered too.

Teardowns are completed even more quickly here.
Major exhibitions orgaised by RX are taken down in 5 hours or less which can require over 1,000 staff and 30 trucks.
No other producer in Japan has the know-how and logistical expertise to make this happen.
  • ■ Utility Management

Ordering utilites can be problematic in Japan where there are often no designated suppliers and language barriers in dealing with vendors.
We took care of all of this from the rigging to electricals to internet.
Differing standards in particular with electrical supply can be a headache but our team know have done this often enough to know how to solve such problems.

  • ■ Stage operations

This was a live event with a large plenary hall.
Visitors flocked to the hall to hear the founders of Etherium as well as view exciting acts by local performers.
Our events planning team were onsite for the whole show, supervising the lighting, sound and video for the stage.
From rehearsal to livestreaming, we made sure operations were smooth and seamless.
  • ■ Exhibition operations

Dealing with multiple exhibitors onsite, our team set up and ran the onsite secretariat to ensure everyone got what they ordered and could get their booths ready for the show.
